Opportunity Announcement

One standing template, reused across every posting.

Template

A single opportunity announcement framework covers every posting. The body of the announcement does not change from one submission to the next.

What changes per posting

  • The title or label of the opportunity.
  • The geographic location or locations it is tagged as targeting (for example, Dallas, Texas versus Phoenix, Arizona).

Everything else in the announcement stays fixed.

Recruitment Channels

Same announcement, three different intake workflows.

Zoho Recruit (career site + 26 free job boards)

All postings, across every city and state variant, are listed on the career site and pushed to the 26 free job boards in the background. Traffic routes into Zoho Recruit, where automations sort it:

Automated
International applicants are disqualified and sent an automatic disqualifying email.
Applicants in a restricted state are disqualified and sent an automatic disqualifying email.
Approved applicants receive an automatic email inviting them to fill out the CQI.
Manual
Updating that lead's status to CRM Record once they fill out the CQI. That status change is the only manual action in Zoho Recruit.

Indeed and Breezy HQ

Every submission is reviewed individually. There is no automatic disqualification here, so the screening itself is the manual action:

Manual
Review each submission. Anyone outside an approved state or international is disqualified.
Anyone in an approved state receives the invitation to fill out the CQI.

Regardless of which channel someone came through, filling out the CQI is what actually enters them into the Zoho CRM. It is the source of truth for CRM entry.

CQI – SAR Simulator

CQI, info session, OCA, and the SAR simulator. Automated end to end — monitoring only.

This entire stretch runs on automation. The only ongoing action is watching the activity logs, alerts, and live data feeding into the service partner dashboard in the Agent Support Portal.

Automated
CQI submission enters the applicant into the Zoho CRM and triggers the invitation to register for the info session.
Info session confirmation, attendance, and drop-off are all visible in the CRM without action required.
Confirming next steps after the info session triggers the OCA (official contractor application).
OCA disqualifiers fire automatically. New registrants and existing Arise-platform agents each route through their own automated path.
Manual, situational
If an existing Arise agent replies to their OCA email asking for help joining the call center, that reply is answered manually.
Automated
SAR simulator runs on its own; no manual action required.

PRP Tool

Orientation's visibility layer into self-registration. Three manual follow-up paths.

Self-registration on Arise is all-or-nothing, with no visibility into where someone is or whether they hit a snag. The PRP tool exists to surface that. Without it, there is no way to know if a candidate has an issue to be advocated for.

PC scan fails

Manual
Follow up directly with the candidate.

PC scan passes, Harver assessment fails

Manual
A 90-day retake pause applies. An automatic email likely goes out, but a manual follow-up stays available for anyone waiting out the 90 days or troubleshooting their PC to pass.

Issue occurrence status

Manual
When a candidate selects this status, a field opens for them to describe the issue (lockout, Harver not loading, technical difficulty). This may require reaching out to registration support to advocate on their behalf.
Resolution path: once resolved, the candidate can clear the status themselves in the PRP tool, or it can be reset from the admin dashboard.

Finalization & Onboarding

Arise roster acceptance through portal invitation. The heaviest manual stretch in the pipeline.

1. Finalize on Arise

Manual
Go into the Arise platform and accept the candidate onto the roster (a series of clicks). Once finalized, capture their CSP ID.

2. Update the CRM

Manual
In the registration queue, their record shows Registration Completed with the Ready to Be Finalized tag. Open their profile, enter the CSP ID, then under Send to ASP select Ready to Onboard.
Automated
Selecting Ready to Onboard triggers a Zoho Flow automation that creates a new profile on the Agent Support Portal (SuiteDash).

3. Activate the portal profile

A click notification arrives once the new profile is created.
Manual
Open the new profile, go into settings, and save. This triggers the pre-filled Onboard Ready custom field, which fires a set of internal portal automations.
Refresh the profile after saving. This is what releases the portal invitation email so the candidate can set up their password and log in.

4. Clean-up fields

Manual
Extract the CSP ID from the default title field (where it lands after pushing over from the CRM) and enter it into the dedicated CSP ID custom field.
Set the CSP status custom field to Active (currently defaults to something like "New Kingdom fruit" — confirm exact default).
Update the referral tracker link with the CSP ID appended to the static URL (?CSP=[number]).

Open question, not yet solved: whether these three fields (CSP ID, CSP status, referral tracker link) can be auto-populated via webhook from the CRM instead of entered by hand. Parked as its own build thread.

5. Financial documents

Manual
W9 and direct deposit forms go out and come back through Adobe Sign. Download the completed copy and upload it to the shared Financial Docs folder.

Known issue

Manual, unresolved
Portal invitation emails have landed in spam. Fix is pending; in the meantime the PRP tool pop-up needs a line telling candidates to check spam.

Agent Management

Ongoing, post-onboarding partner support. Not yet sifted.

Not yet built. This tab is reserved for the ongoing manual actions that happen after an agent is fully onboarded and active, separate from the one-time finalization steps in the previous tab. Talk it through the same way as the other tabs, then this content gets filled in.
